Most groupware systems do not allow users to delegate the permission to change meeting dates to individuals who are not official project members. As a result, participants must contact the moderator or a PMO to request any date changes.
**(2) Inefficient workflow for creating meetings with agendas**
Creating a meeting with an agenda currently involves a cumbersome process:
1. Create the meeting in OpenProject.
2. Copy the meeting URL and paste it into a new meeting entry in the groupware system.
**(3) Error-prone and inefficient update mechanism if there no single source of truth**
If the meeting date changes, it must be updated in both systems manually. This often leads to inconsistencies between the platforms — especially for recurring meetings — increasing the risk that information gets out of sync.
