Resrticting Access to Project(s) based on Group Affiliation
Added by Brent Lucas about 7 years ago
We need to use Open Project as a project management tool for a series of clients.
Rather than install an OpenProject instance for every client we want to be able to control what users see what projects based on group affiliation, or even simply by the fact that they are not assigned to a specific project.
There doesn’t seem to be any option for this I can see in the free version.
Can someone please confirm this so we can move on, or is it possible to do in the “Community Edition”

Hello Brent,
this is possible in the Community Edition.
When you create a project you can decide whether it should be “public” or not.
Public projects can be accessed by any user on your OpenProject environment. (To be more precise, you can control what users in public projects (who are not project members) should be able to do through the default role “Non member.”)
Private projects can only be accessed by project members and admins.
By default, projects are private. So you can create different (private) projects for different clients and only add those clients who should be allowed to see the information to the respective projects.
In order to create multiple users to the same project at once, you can use groups.
Thanks for your response Robin
However, that is not the behaviour I am seeing in our current install. I have marked none of the projects as public yet all logins can see all projects, regardless of who is assigned to them.
Any ideas?
Also, how does the project manager role impact view rights?
Hello Brent,
can you please check that the user who are seeing the projects are not admins? Admins can always see all projects (regardless of their project membership).
The only other way users can see projects is if:
You can see what users with a certain role are able to see / do within a project by going to the “Administration” and selecting “Roles & Permissions”. Then, select the role (e.g. “Project manager”) to see which permissions are set (and make any adjustments if necessary).
Best regards,
Robin
