Backlogs: Stories not shared between projects and subprojects
Added by Milton Stanley almost 10 years ago
I have a project with several subprojects. Each subproject has its own backlog, but the main project has the sprint. I can move the stories from a subproject backlog into the sprint (which is shared), but in the actual main project’s backlogs view, the sprint doesn’t show any of the stories (though they do show when I go to the backlogs page in the subprojects).
Is this working as intended?

Hello Milton,
thanks for your question.
Yes, this is the correct behavior and this may indeed be confusing.
However, when the main project contains several backlogs which are not shared with the subproject a user may be confused to why he cannot move the work package from the subproject to one of those backlogs.
A solution may be to highlight those work packages which come from subprojects to make it clear they may potentially not be movable to backlogs which are not shared with the subproject.
For an overview of a version (such as a sprint) with the work packages in suprojects you may alternatively use the Roadmap in the main project.
Best,
Robin
Hi Robin,
I think the issue Milton is describing is that after moving a work package to a shared backlog, it is still not visible outside the subproject.
I have noticed this as well, moving two work packages to the shared backlog from the parent project, and two work packages to the shared backlog from the subproject. In the backlogs view for each project, the shared backlog is visible but only contains the work packages from that project. See “Product Backlog” in the screenshots, attached.
Also notice that the shared backlogs are configured as right column in the parent, but show up on the left in the subproject.
Thanks,
Linn
That’s exactly my problem, thanks Linn! I should have been clearer and included screenshots, as you so helpfully have. I had trouble explaining it in English, but “a picture is worth 1000 words.”

Hi Linn, hi Milton,
thanks for opening a feature request.
Yes, you’re right: Being able to easily manage work packages from different projects via shared / inherited versions makes a lot of sense.
Thanks,
Robin
I have the similar case, in fact I would like to do the same.
I have the main project and several subprojects.
Currently, to manage sprint in the main project, I need to create story (WP) in main project and include child task (WP) from subproject. But even in that case, I will see the parent story only in the parent sprint.
Managing several smaller projects with several people working on these projects is a very common situation nowadays.
How the other people use Backlogs plugin for multiple projects?
Regards,
Igor
Just curious if there is going to be any movement on this feature request.
I am waiting this feature to begin using openproject in my company.
We really need this “macro view” on subprojects backlogs.
https://github.com/finnlabs/openproject-backlogs/pull/233
Here it is mentioned that it should be patched for the 6.1 release…
bananabr commited a working version the 28 sept.
Could someone tell us if it’s gonna be available in the next release ?
Thanks by advance
Hi @all,
I’m sorry to reanimate dead threads - but is the development still ongoing? Because we also stumbled on this bug just to find out it is a feature.
Best
Daniel
For me too, its really needed and absolutely necessary to use ist for scrum teams with several projects and a team sprint.
another good idea would be that you register teams in openproject and attach a sprint to a team and not to projects. then you can bind multiple projects (and subprojects) to the team.
What do others think?
Added as Idea #26928
Hi Daniel,
Your idea is great. In agile we should differ between product backlog und team/sprint backlog. I would prefer this way of working.
Best regards, Alexander
Looks like this is dead? Nothing happened in 5 years:/
I wonder whether every user of OP has only 1 project, or 1 team per project. Looks like it's not possible to plan, use this with a team which handles multiple projects at the same time
I need this too. I'm using the cloud version and before I subscribed I assumed it worked.
Dear all,
replacing and improving the backlogs module is (still) on our roadmap, but this has to be prioritized against other feature requests according to its RICE values (and the vision for OpenProject). You can find our roadmap here: https://community.openproject.com/projects/openproject/work_packages?query_id=1993
Thank you for staying patient!
You can find the feature request to include tasks from subprojects in the Backlog here: #24971
As a workaround you could use the new Subprojects board to show tasks from different subprojects in one Kanban view.
Kind regards
