Using OpenProject to manage volunteer tasks
Added by Andrew M about 2 years ago
Hello,
I've just come across OpenProject and trying to work out if it would meet the needs of our organisation. We are an international network and we have a team of volunteer translators who translate content for our website. At the moment we have quite a slow system (basically emailing people individually until we find somone with the capacity to take on a task) which is frustrating for staff and for volunteers! I'm just looking at OpenProject but thought I would ask here before spending a bit of time playing/demoing.
Could we:
- assign volunteers to groups based on their language translation (e.g. English to Spanish, French to German, etc)
- assign tasks to groups so that everyone in that group gets an email when a translation task has been added
- allow volunteers to "accept" that task (perhaps just by changing the assignee to themselves as an individual rather than the group?)
To me this all looks feasible but just wanted to check, or ask if anyone is doing anything similar?
Thanks!
Andrew

Hello Andrew,
You can create groups and assign users to them: https://www.openproject.org/docs/system-admin-guide/users-permissions/groups/
A group can be added to a project and work packages can be assigned to the group then.
Users will be notified about a work package being assigned to them according to their notification settings: https://www.openproject.org/docs/user-guide/notifications/notification-settings/
Additionally, the users can configure email reminders: https://www.openproject.org/docs/getting-started/my-account/#email-reminders
Users can assign the task to themselves if they have the permission to do so (https://www.openproject.org/docs/system-admin-guide/users-permissions/roles-permissions/).
Best regards
Samantha
