can we breakdown task into sub-task?

can we set only allow specified person to modify milestone?

Hello Sunny,

yes, you can import a project plan from Excel to OpenProject. There is a separate Excel synchronization template available for this. 

You can find download the template and find futher information here: https://www.openproject.org/synchronize-excel-openproject/.

You can also break tasks / work packages into subtasks. An easy way to do this is by right-clicking on a task and and selecting "Create new child".

The roles in OpenProject provide permissions to create or edit work packages (this provides permissions for all work packages in the project - it is not possible to only provide permissions to only certain work package types (such as milestones)). You can e.g. add users with the role "Reader" to a project in order to allow them to only see tasks but not to modify them.

Thanks for your quick answer. Is there any way for us to set one project plan as project baseline, and if any one want to change it, need to go through change process to get approval?

  1. from where to see the task that has closed?
  2. from where to get the document that has uploaded int the task?
  3. how to use the item of "category"? only for the filter using?
  4. what is the difference for assignee and accountable?
  5. how to manage the document ,the better way is to use wiki?

Hi Sunny,

we are evaluating a planning comparison which would show you the differences make to a project schedule. You would define a baseline or specify a timeframe you want to compare to the current schedule and see the differences. There exists already a feature request for this: #26448. Feel free to comment on this.

Regarding your other questions:

1. from where to see the task that has closed?

On the work package page, expand the filter section and filter for "Status: closed". This will show you all completed work packages.

2. from where to get the document that has uploaded int the task?

The documents uploaded to a task are shown in the "Files" section directly on the "Overview" tab. Simply open a work package and scroll down. Just above the "Last activity" section you will see the uploaded files.

3. how to use the item of "category"? only for the filter using?

You can use the "Category" to categorize work packages and also to automatically assign a user to a work package when you create a new task and select the category (without setting an Assignee). If you specified an assignee in the category creation, that assignee will be set automatically. You can filter based on the category, but you can also group by it and add it as a column to the work package page.

4. what is the difference for assignee and accountable?

The assignee is the person (or group) who is working on a work package, while the accountable is the person responsible for the completion. An accountable could be e.g. the project manager, while the assignee can be e.g. a project member currently working on a task. Typically, the accountable does not change, while the assignee changes quite often - depending on who is currently working on the task.

5. how to manage the document ,the better way is to use wiki?

Apart from directly uploading documents to work packages, you can use the separate "Documents" module. You can activate this within a project by navigating to "Project settings", selecting the "Modules" tab and checking "Documents". If you work with wiki pages and would like to add images, it makes sense to upload these directly to the wiki page.
