**Observations**
We observed that got feedback from multiple users joining a meeting room in Teams/BigBlueButton/Google Meet are not aware of the meeting agenda.
* They haven't checked the agenda before joining the meeting and come unprepared. That can lead to frustration for those people that made the effort to invest their time on preparing it.
* At the same time, people on the meeting they are not aware that a agenda exists and ask "What topics do we have for today?" although an agenda is already in place.
* Further, they struggle struggling to find the agenda
* They have difficulties to find the link within the calendar entry's description as it from an ICS entry. The URL field is too many clicks away.
* They have difficulties to find the agenda not correctly propagated in OpenProject directly as it is also too many clicks away.
**Proposal** all clients.
Instead of linking At the meeting room in same time, the location field of a calendar entry we link to the agenda. Then users need to pass by the agenda if they want to join the meeting, as the link to the room is an attribute in the agenda.
**Discussion**
**Pro**
* Users will pass used by the agenda and will be aware of it.
**Contra**
* You can only access the room if you have access clients to OpenProject. That reduces the access to OpenProject users only.
* You need to have your OpenProject credentials at hand for joining show a meeting. That might create stress as you still need to find them. Imagine a scenario of a user in a car joing a "join meeting quickly.
* Some calendar tools try to render locations with "Join this meeting" buttons, or, when a physical address, a link to a map. Those features are only create their value for the real location, while they won't conference" button which would be applied for a meeting agenda.
**Further information**
The **URL** field having the link to the agenda is not correctly shown lost in all clients. this case.
* It renders nicely on iOS
* It does not show up on OpenXchange 7 (Mailbox.org)
**Conclusion**
We ideally gather more insight in how users work with these links.
Maybe we need to investigate further solutions like for example integrating deeper with the conference room software to
* directly share the agenda
* link the agenda from the room's chat links
