I would like to propose an idea: Automated, configurable a feature for OpenProject that allows automated, configurable, and privacy-compliant survey management distribution of surveys within OpenProject. projects. The goal is to capture not only the “hard” facts (e.g. tasks, schedules) but also the “soft” factors (e.g. psychological states, organizational energy, team mindset, clearness of project vision) that can critically affect project success.

**Use Cases**

* **Automatic Surveys by Project Trigger**

* A project manager Project Manager can set up surveys to be automatically sent out when specific project milestones or phases are completed.

* For instance, when a project phase ends, all users with the role “User Representative” would receive a “Key User Project Health Check” survey.

* **Global Surveys (Admin-Controlled)**

* An OpenProject admin could enforce mandatory project surveys, e.g. global surveys (for example, once a year) using a proven instrument like a [High-Performance-Team-Survey (HPTS)](https://zis.gesis.org/skala/Fischer-H%C3%BCttermann-Siebenaler-High-Performance-Team-Survey-%28HPTS%29) or a modified version of it to specifically emphasize on _project_ _team_ performance it.

* This ensures organization-wide visibility and comparability into team well-being and project conditions.

* **Public Surveys**

* A project manager can create a project survey and share a public link, e.g. to collect large scale user feedback at multiple points within a project

* If open questions are used (e.g. for project feedback), the project manager can decide to link user submitted project feedback to work packages and has the option to subscribe the person who submitted the feedback about work package activities 



**Requirements**

* **Predefined and Custom Survey Templates**

* OpenProject should offer a selection of scientific, well-researched survey templates out-of-the-box.

* Project Managers (or admins) should also be able to create and store custom survey templates.

* **Flexible Data Privacy Settings**

* The results’ visibility should be highly configurable:

* Ranging from “everyone can see all results” to “results are only viewable under strict access controls (e.g. requiring a specific password from the works council or a data protection password).”

* Optionally, the system can be configured not to store results at all, but rather export them to a specified email address (e.g. a personnel or HR representative) and then delete them immediately.

* **Enhanced Compliance**

* The feature should include robust data protection and compliance measures, ensuring respondents confidentiality.

* Users need to be confident their honest feedback will not lead to negative personal consequences.

* By offering flexible privacy options, the solution can meet diverse legal and organizational requirements.


**Benefits**

* Project issues often go unnoticed if only the Project Manager and official project reporting are consulted. With integrated surveys, team members can raise concerns confidentially and in context of the project their concerns arise. confidentially.

* Soft factors like psychological well-being and organizational energy can significantly impact outcomes. Systematically capturing these insights helps Project Managers and PMOs address issues proactively.

* This feature closes the gap between purely operational tracking (e.g., tasks, budgets, deadlines) and the human/organizational side, creating a more complete management view.


Incorporating an automated, privacy-compliant survey engine into OpenProject would empower teams and organizations to identify, communicate, and address performance and well-being issues early.

By offering configurable triggers, flexible privacy controls, and scientifically grounded templates, this could make advanced organizational development habits easy, sustainable and accessible for smaller organizations without specialized change management staff.
